• Supporting logistical activities such as procurement, supply chain, stock management, warehousing, transport, facilities, IT and communication (e.g. satellite and mobile phones, HF and VHF radios, laptops, printers, scanners, etc.), and asset tracking
• Ensuring that the procurement reflects the Medair policy on the purchase of specific items.
• To support the PSM on the assets and utilities in the various project sites are being well maintained by the logistics team
• Liaising with the relevant field manager to provide effective logistical support to the projects and the field teams
• To support PSM on updating to date charter flight information as required
• Provide technical support to the team in all project sites including evaluation and impact analysis of current projects.
• Meet the logistics related administrative requirements of Medair, donors, local legislation, suppliers, contractors and any other stakeholders, so that the logistical aspects of the program function efficiently, effectively and with integrity
• Ensure a clear and transparent paper trail is in place for all logistical transactions (e.g. purchase requests, waybills, stock control, asset tracking, etc.), that records are kept in an orderly and timely fashion and that the filing (archive) system is in line with Medair and donor requirements
• Contribute, as required, to the accurate and timely reporting of activities e.g. through weekly and monthly reports
• Responsible for all cash handling, purchasing, and receipts within this role and submit correct receipts and cash to PSM and Finance Officer
• Maintain a transparent, honest and supportive communication structure with colleagues to ensure they are kept informed of applicable logistical activities and requirements
• Provide training, advice, mentoring and coaching as required to all relevant staff on logistical procedures, internal controls and the logistical requirements of donors
• Develop and maintain positive relationships with suppliers, local authorities, other NGOs and any other stakeholders, representing Medair and ensuring good co-operation and partnerships
• Ensure that each field site has an appropriate collection of technical manuals and books on procurement and other responsibilities of the logistics.
• Ensure regular backups are done for all computers throughout the program and that virus updates and routine computer maintenance is carried out.
• Assist in the security assessment of each location, for mobile teams, for transportation and storage of cargo, and for all bases.
• To support on technical resources available and to maintain communication and security equipment in good functioning condition
• Ensure all locations (office and bases) have the necessary safety equipment and supplies, including travel safety items.
