Executive Assistant - Think CSI

KEY RESPONSIBILITIES

 Management of incoming and outgoing mail, emails, telephone calls and correspondence,

including where appropriate re-routing to Departments heads.

 Manage CEO’s schedule, make appointments and update diary accordingly.

 Ensure all deadlines issued to and for the CEO are met.

 Co-ordinate internal and external meetings for the CEO.

 Maintenance of accurate, comprehensive and accessible manual and electronic filing systems,

including quick and thorough indexing

 Facilitate provision of and collate information required by CEO.

 Performing various executive and administrative support duties that are highly sensitive and

confidential with discretion

 Developing and maintaining professional communications with both the CEO and the

COMPANY main contacts, internally & externally.

 Oversee in collaboration with the Sales/Marketing Department, the COMPANY Monthly /

Quarterly / Annual report’s completion and distribution to relevant Stakeholders.

 Read and analyze incoming memos, submissions, and reports in order to determine their

significance and plan their distribution.

 Prepare agendas and make arrangements for staff & management meetings.

 Conduct research, compile data, and prepare papers for consideration and presentation by the

CEO.

 Attend meetings and take minutes.

 Represent the CEO in meeting as and when required and uphold the efficiency and

effectiveness of the office all the time.

 Prepare invoices, reports, memos, letters, financial statements and other documents related to

CEO, using word processing, spreadsheet, database, and/or presentation software.

 Responsible for all arrangements related to Board meeting, including but not limited to:

organize the meeting, distribute final agenda & previous minutes, prepare the pack for the

board, taking notes...etc.

 Notify COMPANY staff regarding Board policy decisions as appropriate, and update Policy &

Procedures Manual accordingly.

 Provide secretarial services for Chairman if required.

 Coordinate and confirm travel arrangements for the CEO and external visitors within the budget

and provide itinerary, agenda, advances and expenses reports.

 Develop, implement, & maintain a formal booking system.

 Negotiate travel supply arrangements with agency or agencies and liaise to ensure service

levels are maintained.

 Media monitoring and solicit of business and industry news from major media publications.

 Prepare proposal and business deals directly handled by the CEO.

 Have track records of all personal occasions (Birthdays, outing, ...) and business related

documentations (Expiry, renewals, ...) and others.

 Develop partnerships with hotels, restaurants and other sources of entertainments for business

gathering.

 Take the lead in managing the overall hospitality and office ambiance.

 Full supervision over all hospitality and guest care staff including the Front Office Executives,

office clerks,
