Executive Assistant/ Office Manager - AlNapedh

The executive Assistant / Office Manager organizes and supervises all of the administrative and logistic activities that facilitate the smooth running of the Office.





Essential & Primary Responsibilities.



1. Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.



2. Assist the CEO/COO on their day to day task by Completing all of the administration works required



3. Complete forms in accordance with company procedures.



4. Compose, type, and distribute meeting notes, routine correspondence, and reports.



5. Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs.



6. Make copies of correspondence and other printed material.



7. Prepare and checks emails.



8. Writing reports and delivering presentations for or on behalf the Head of Business Development & COO.



9. Excellent typing skills & talent in using Internet Social networks (facebook, Twitter, Youtube, G+ ... etc).



10. Using a range of office software, including email, spreadsheets and databases;





Regular Tasks.



1. Secretarial Jobs:

• Acting as assistant to the CEO & COO.

• Managing the office daily tasks.

• Telephone call management.

• Files & Paperwork Management.

• Business Report keeping.



2. Office Administration:

• Office Management and checking of supplies.

• The Stationary and the storage room Management.

• Office maintenance and cleanness supervision.

• Updating the database

• Managing the Archiving system



3. Human Resources:

• Recruitment

• Staff document keeping

• Follow up with Staff Attendance

• All Staff Job Description

• New staff support & information about the company



4. Financial

• Petty Cash Management

• Filling all bills and invoices

• Salary Payment

• Issuing the audited Financial Statement

• Answering Head of Depts. Questions and inquiries.
