The Personnel Administrator will be responsible for handling personnel matters with regards to adhering to policies, maintaining detailed personal employee files for all employees, providing employees with proper job instructions, and providing them with a clear understanding of their rights as employees.
► Handle the Personnel Administration section at Ewaan which is responsible for the administrative activities with respect to:
Personnel Files
Time & attendance
Retirement
Resignation
Termination
Grievance Handling
Conflict of interest
Disciplinary action
Employee loans and advances
End of service benefits
Leaves
Overtime
Relocation (transfer)
Other employee administrative issues.
► Assist the Senior HR Specialist in developing Personnel administration policies and procedures for the corporate.
► Maintain a time-keeping system for tracking employee attendance and ensure that it is applied correctly.
► Maintain detailed personnel records such as personal data, compensation, benefits, attendance including holidays and sick leaves, performance reviews or evaluations, termination date and reason, etc…
► Attempt to intervene on behalf of employees to resolve employee conflicts / grievances. Update Senior HR Specialist on conflicts / grievances and attempt to transfer one employee to another department if conflict / grievance cannot be resolved.
► Receive and prepare reports on overtime requests / leave requests / travel requests / Loan Requests from employees or departments and submit them to the Senior HR Specialist for review.
► Analyze pending retirement dates for senior employees and prepare a retirement letter (approved by Senior HR Specialist and the Director of HR & Corporate Services) and forward to employees.
► Prepare letters such as termination letters or warning letters (approved by Senior HR Specialist and the Director of HR & Corporate Services) and forward to employees.
► Inform Senior HR Specialist of employees that exceed their allowed sick leave days.
► Update Ewaan employee files to document outstanding incidents and occurrences.
► Respond to inquiries regarding personnel matters from employees, supervisors, and the general public by telephone, in person, or in writing.
► Maintain an awareness of state of the art personnel administration systems and practices by reviewing relevant literature and conducting research.
► Provide advice and information to Senior HR Specialist on personnel policies and procedures, including equal opportunity, anti-discrimination and occupational health and safety programs that would lead to a more efficient operation.
► Inform Ewaan employees of any changes in personnel policy, rules, etc…
