- Diary management: Proactively planning, scheduling and co-coordinating external and internal meetings, taking into account time zone differences, purpose, importance, impact and various complex and comprehensive boundaries and interfaces.
- Email monitoring:: Scan VP email for required follow-up and prepare pre-reading for meetings
- Arranging leadership and team meetings : Facilitate setting the agenda items, taking minutes and managing all logistical requirements (venue, costs, IT, speakers, and team activities).
- Organize Engagement : Plan and prepare webcasts, townhall sessions, staff engagements and roundtable meetings, co-ordinating speakers and all necessary logistics to ensure meetings run smoothly.
- Travel arrangements : Travel arrangements including visa, flight bookings, transfer bookings, hotel reservations, and preparation of complex travel itineraries as well as liaising with APC’s nominated travel providers & staff in visiting countries.
- General administrative support : eg. the budgeting process and any data analysis of expenditure, processing invoices & expenses, and timewriting.
- IT-usage : Take ownership of distribution lists, mailboxes and Sharepoint/Livelink sites as necessary ensuring the details are correct and updated so that communications are managed properly
