Responsibility:-
Reporting to the Shipping Manager for the day to day coordination of Shipping operations.
Difinition of duties:-
Process all requirement of principals in accordance with Quality Assurance procedures, Company’s approved forms and Rules and Regulations for Seaports. All documents to be verified and dully signed by Shipping Manager. Following are details of main tasks:-
1. Send the appropriate pre-arrival questionnaire to the ship master and follow-up receipt of the pre-arrival data.
2. Send Ship Notice of Arrival to port authority and concerned loading/discharging terminal.
3. Maintain sending ETA to port authority and concerned Terminal depending on master’s ETA update.
4. Notify Cargo receivers 7 days, 48 hours and 24 hours with prior arrival notices, and ask them to collect the DELIVERY ORDER against submission of original Bill of Lading and Stevedoring charges & Port dues (when applicable), Also collect any due freight on behalf of the ship-owners at their request.
5. On arrival of vessel, NOR to be sent to Receiver/Terminal or their agents for acceptance bearing signature/stamp (when applicable), same to be distributed to all concerned parties (Owners/operators/ship’s master). Liaise with port control and boarding Clerk for berthing schedule and ensure attending vessel upon berthing without any delay.
6. Amendments to vessel’s ETA’s notifying all concerned parties
7. Communicate with loading/discharging terminal’s supervisor, and cargo appointed surveyors to verify cargo quantities, and collect all prospects . vessel’s berthing, unberthing, estimated time to commence loading/discharge and rate expected, how many loading arms or equipment/gangs will be utilized. Liaise with boarding clerk to ensure sailing formalities is being attended in the accurate time without any delay. Verify the Checklist of documents required from ship & terminal before sailing.
8. The Shipping Supervisor ‘A’ is responsible to issue and maintain “vessel movement report” which will be distributed to Shipping Manager, Operations manager, Shipping Supervisor ‘B’, Crew Supervisor, Supplies Supervisor.
9. Report to principals and all other parties the vessel arrival information details as shown on QAP09 Art # &
10. Collect discharging/loading report from the concerned terminal/stevedores in liaison with shipping Supervisor “C”, and report to principals and all other concerned parties the ship cargo progress on daily basis, recommended to be every morning and as per QAP09 Art # & In case any discrepancy noticed on the report, Shipping Supervisor ‘A’ is responsible to report to the Shipping Manager prior to sending the report to the principals.
11. Issue the English Export Cargo Manifest, Bill of Ladings and other cargo documents where applicable in liaison with Operations Manager.
12. Issue STOF get it signed by Shipping Manager and delivered to Shipping Supervisor ‘B’ in due time upon-on completion of cargo operations along with an indorsed copy of NOR.
13. Report to principals completion of cargo operation and sailing details Collect from the Shipping Supervisor ‘B’ STOF and NOR and fax them to principals and other concerned when applicable, deliver them to the Shipping Accounts Supervisor.
14. Follow-up and collect the final out-turn report, and any discrepancy reports from stevedoring company
15. Notify principals of any discrepancy.
16. Collect from cargo receivers any due extra stevedoring charges as a result of re-measuring the cargo.
17. Pass a copy of the requisition letter sent to cargo receivers in respect of any additional charges requested to the Shipping accounts supervisor, Yanbu and copy to Accounts Manager.
18. Liaise with Operations Manager for any other points that may require attention.
