Purpose: Responsible for assisting on a broad range of daily administrative activities for the Department. Responsibilities include managing the Director’s calendar, administrative support, communications and database management. A valid driver’s license and willingness to drive is required. Principal Responsibilities 1- Administrative Support to the Director and Assistant Director * Manages the calendars; organizes and schedules daily activities/meetings. * Arranges all details of travel schedule; assembles and tracks travel expenses and reimbursements; communicates regularly with Admin/Finance on details of reimbursements and expenses. * Tracks requests and corresponds with external organizations. Prepares any needed pre-meeting or event materials. * Handles large volume of mail and phone calls, receives visitors and staff; responds to requests from organization staff. * Forwards all media calls and email inquiries to communications staff for screening. * Tracks status of projects and outstanding issues. * Drafts and maintains correspondence, maintains Department electronic and paper files. 2- General Administrative Support * In coordination with Department Coordinator, arranges travel-related details (tickets, hotel reservations, etc.) for Department staff. * Takes and circulates minutes of weekly staff meetings and follows up on action points. * Maintains contact and mailing database: Verifies contacts’ names, titles, addresses and phone numbers, and updates information in database and other files. * Compiles other meeting minutes as requested. * Manage all Department internal room bookings. * Welcome visitors and supplies them with publications, as appropriate. * Assists with communicating schedule changes with external and internal participants. * Updates biographies with new publications, presentations, and activates. * Reports Department billing for the Director and Assistant Director. * Assists in the preparation of PowerPoint slides for presentations. * Assists with event follow-up, drafting letters, sending materials and updating records. * Provides backup support for Department Coordinator. * Provides other office support as requested. Education/Experience Requirements: * At least a Secretarial Diploma. Bachelor’s degree desirable. * Minimum of three years of relevant, administrative experience. * Must demonstrate strong verbal and written communication skills, with fluency in written and spoken English and Arabic. * Ability to effectively utilize the Internet, as well as advanced proficiency in Microsoft Office applications. Knowledge Requirements * Excellent organizational skills with high level of attention to detail and follow-up. * Strong oral and written communication skills with ability to interact with all levels of internal and external stakeholders. * Superb organizational and interpersonal skills; poise, tact, discretion and mature judgment to handle and respond appropriately and professionally in high-pressure atmosphere. * Ability to multi-task and complete tasks in a timely manner whether working independently or as part of a team. * Proficiency in MS Office applications required. Internet research skills and the capacity to learn new tools required.
