Policies, Processes & Procedures:

 Follow policies, procedures and controls covering all areas of the organisation so that relevant procedural/legislative requirements are fulfilled

Communications:

 Manage incoming telephone, fax and email communications to ensure messages are received according to priority and at the appropriate time

 Draft outgoing communications as directed and forward to the appropriate internal or external recipient

Scheduling

 Manage the schedule by updating entries as directed and programming visits and meetings when required in line with approved policies and procedures

General Administrative:

 Follow up on all visits, trips, bookings etc. scheduled for manager and ensure that all arrangements are carried out timely and efficiently to facilitate smooth and uninterrupted work of manager

 Maintain all relevant documentation related to the office or the agenda of the manager to ensure proper archiving and easy retrieval of information when needed

 Carry out routine office tasks such as printing, scanning and filing

 Receive visitors and manage their demands or inquiries depending on the nature of the visit and the schedule of the manager, in line with approved policies and procedures

Change Management :

 Support the management of change through continuous recommendations for the improvement of office related processes based on identified areas of improvement

Related Assignments

 Perform other related duties or assignments as directed
