Executive Assistant - Taqweem Medical Co.

Background:

The individual will have a proven track record of consistent on-target performance in an executive secretarial capacity, be passionate about their role and have a high level of business acumen. He or she will need to build strong ethical business relationships with fellow employees and business colleagues alike. The individual must have a level of time management skills, be able to work independently, and maintain result-oriented values.

This position will require the individual to operate in between the Head Office, Satellite Offices, and personal home office of the CEO. In summary, this requires a commitment to accompany the CEO at the different facilities of the business operation.

The role of the executive secretary will be the following:

•Devising and maintaining office systems, including data management and filing;

•Interviewing persons and composing a transcript of the interview;

•Summarize documents;

•Prepare executive summaries;

•Arranging travel, visas and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations;

•Screening phone calls, enquiries and requests, and handling them when appropriate;

•Organizing and maintaining diaries and making appointments;

•Dealing with incoming email, faxes and post, often corresponding on behalf of the manager;

•Taking dictation and minutes;

•Carrying out background research and presenting findings;

•Producing documents, briefing papers, reports and presentations;

•Organizing and attending meetings and ensuring the manager is well prepared for meetings;

•Liaising with clients, suppliers and other staff.

•Typing up minutes

•Carrying out specific projects and research;

•Responsible for managing petty cash budgets;

•Deputizing for the manager, making decisions and delegating work to others in the manager's absence;

•Being involved in decision-making processes.

•Prepare staff schedules

•Maintain supply levels of office supplies

•Coordinating with employees and assure project milestone are being met by employees assigned to tasks within a project.
